How do you guys keep track of maintenance and repairs on your trucks?

As mentioned by BadHemi2014. Libre Office has a free, full suite of programs to replace ms office. It's not perfect, but the price is right. It will open and edit most ms docs.
Libre Calc is the replacement for Excel. :cool:
Yep, this ^^^^^^^^^^^^^^^^ For many years, I used Micsosoft Office, but after buying two versions, and then not being able to use them any more (for assorted reasons, all MS fault). I migrated over to LibreOffice, works just fine for my stuff.

Have been using vehicle repair spreadsheet (was Excel, now Libre Calc) for 30 years. Here's a piece of Page 1:

Excel spread sheet. Columns heading for basic routine mtc with mileage and then unusual stuff.
You can set it up to show the mileage for basic things like oil change every 6k miles.
I’ve been trying to stay more organized with my truck — oil changes, parts replaced, repairs, mileage, all that.

Over time it’s gotten pretty scattered between receipts, notes, and photos on my phone.

Curious how you all keep track of everything long-term?

Do you just keep receipts, use a spreadsheet, apps, or not really track it much at all?

I’m starting to realize having everything in one place would make things way easier — especially for long-term ownership or when it comes time to sell.

I have a simple MS Word document on the computer which has a constant backup system. Just enter date, mileage, and what was done. I don't worry about oil changes there. I have an Excel spreadsheet that tracks oil changes as well as forecasted mileage for the next change. I even have a chart that auto updates when I enter the latest change. The chart tracks planned based on mileage vs. actual. I do the Word doc for all my vehicles and the Excel doc is a workbook that contains them all. What will I do with it when I sell the vehicles. I guess it will be available if someone asks otherwise they gave me a delete key and I know how to use it!!

I'm rrather low tech, I guess. A roll of 1 inch green painter tape that I write date and mileage. I also use one of the travel odometer for backup. The rest I I just do when necessary. I never plan on selling so multi pages of records are not necessary. Any repairs, I do myself so I know they are done right.

I keep a 3 ring binder with page separators that have pockets for receipts and use tab for YMM. Paper is reinforced so can't tear out (easily). On first page I put std info like oil type, filter P/N, wrench sizes to do oil change, etc. Then record via date/time and what was done for life of vehicle. I've seen some better examples of tracking but I try to keep it simple. Even lawn equipment goes in the binder as well as any P/N's I had to look up as I need them.

In the owners manual or warranty pamphlet, there’s a page with lines to record things… sometimes called a maintenance list. I write everything down there.

Receipts are kept in a ziploc bag in the garage. I’ve only ever needed to grab a receipt to post the price I paid or the part number of the thing on a forum.

I keep track of maintenance on blank pages in the back of the owner’s manual. Hand written records of all maintenance performed. Any receipts go in the glove box in a baggie. It’s not rocket surgery guys lol.

I have a large ziplock freezer bag that gets all receipts loaded from front to back.

I do my best to note mileage and dates on those receipts.
My maintenance schedule has changed to a time based , rather than mileage.

Just kidding of course I have both a file folder in my filing cabinet containing the physical receipts, with a paper summary in the front, and also a libreoffice spreadsheet for easy searching. Everything gets documented no matter how small.

Chart here says "mileage" but it really should say "kilometerage" except that's a little hard to get off the tongue:

Just use "meterage" that leaves it open ended.........

I used a spreadsheet, like Excel. Backup everything after posting the information. The receipts go into a zip lock bag staple by date.

Now I use LibreOffice, which is a twin to MS Office. Had to get away from subscriptions and such.

My spreadsheet has grown from just a sheet to having a recap by parts, labor, cost, tax, regular maintenance. Once set up, it is easy to reconcile and to know where and how often a particular section of the Ram is costing money and what shop did the work.

You can be as detailed as you need to be. I now know how much to escrow in the bank for maintenance and repairs on a monthly basis. Does not hurt the monthly household budget when something has to be done. I do this with our household budget to see where money is spent.

It may be a bit of a pain but it has proved helpful.

I keep an Excel spreadsheet for all 4 vehicles. I have several tabs with a tab for each vehicle with a little more detail. The main page is mileage and another tab is the dates and mileage of all maintenance.
But yeah openoffice is another free option. I haven't used it for about 20 years but last i used it it was great

Have been using excel since it came out. Not stopping now. Still loaded my Office 2007 Enterprise on my Win 11 machines.

Multiple tabs for Vehicle description, part numbers crossover's and fluid types and qty's, maint schedule and dates complete, expended $$$ tab, to do list tab and wish list tab.

Use it for all the vehicles, motorcycles, boats, major landscape equipment and my whole house genset.

Do have Libra on my Ubuntu machine but don't use it for everyday stuff.

It’s interesting how this pretty much splits into two camps:

  • notebook in the truck (simple, always there)
  • or full spreadsheet setups with everything broken down
Both make sense honestly.

The notebook is easy and reliable, but harder to look back on over time…
and the spreadsheets are super detailed, but I’ve seen a few people lose years of records when a computer dies or things stop syncing right.

That’s kind of what I ran into — I started with notes + receipts, then tried spreadsheets, but everything still ended up scattered.

Lately I’ve just been keeping everything in one place — maintenance, mods, receipts, even photos — more like a running timeline of the truck instead of separate systems.

Especially helpful with multiple vehicles… I couldn’t keep it straight otherwise.

Do you guys prefer simple + quick logging, or being able to go back and see the full history later?

Well that's what backups are for :)

You can also just use google sheets and never have to worry about backups ever again for this kind of thing.

It's ridiculously easy to make lots and lots of backup copies of EVERYTHING nowadays. I use a sync program called 'FileSync', but there are many others to choose from. I have complete copies on external HD's, and USB sticks, and on the cloud.

But yeah, your situation happened to me about 20 years ago (computer crashed, lost everything) and then I determined to backup all the time onto numerous differing devices.
