How do you guys keep track of maintenance and repairs on your trucks?

I keep a notebook on all my equipment. Lawn mower, generator, snowblower, string trimmer, edger, air compressor, Jeep and Ram. . Then after a page is filled it gets copied to 2003 Excel, printed and into a slip cover. Those go into a binder. It is easier that guessing

I have been using a spreadsheet on the last 2 computers,
But last fall the board died and went with a new laptop 11, now after 20-30 yrs excel wants money ,
I can’t get into the past sheets now.
So until I figure something out, back to note book .

When I was farming before computers I kept notes in the shop as well put dates on the oil filters, as well as entry in income, expenses ledger at month end.
Plenty of free options to replace excel with.
Google Sheets
Libra Office (my personal favorite)
Openoffice.

Probably others.

I use a binder, with plastic Sheet Protector sleeves. All service receipts go in sleaves. A blank sheet of paper with hand written notes including service, date, and parts store receipt(s), when I DIY. Binder is stored in the seat back pocket.

I used ab excel spreadsheet and keep it on Google Drive so I can easily access and update it from my cell. Since I do most of the maintenance myself, keeping receipts for everything is just too messy. I think a neat organized spreadsheet would be much more appreciated by any prospective buyer if I decided to sell. Nobody wants to go thru a whole bunch of receipts.

I downloaded a free notebook app on my phone and created a folder-like file for all my vehicles and numerous other things. I record dates, mileage, part numbers, vendor pricing, you name it. You can move entries around to prioritize items. It has a search option where you can find everything that comes to mind. The app is called Color Note. It's on my phone, so the info is always handy.

I’ve been trying to stay more organized with my truck — oil changes, parts replaced, repairs, mileage, all that.

Over time it’s gotten pretty scattered between receipts, notes, and photos on my phone.

Curious how you all keep track of everything long-term?

Do you just keep receipts, use a spreadsheet, apps, or not really track it much at all?

I’m starting to realize having everything in one place would make things way easier — especially for long-term ownership or when it comes time to sell.
I keep all maintenance receipts along with tracking all maintenance on a spreadsheet. LOF, rotations, recalls, wiper blade changes and tires.

Nothing special. KISS - Keep It Simple...

Scheduled maintenance on time or sooner. Oil and rotate more frequently than required. Lifetime four oil/filter changes each year. Rotate every 3K miles, at Discount Tires. Buy tires there so they rotate...

Repairs as needed. 94K miles. Tires, battery and wiper blades, thus far.

Don't do "suggested" maintenance dealers push. Required maintenance, or it doesn't get done.

Records? Dealers have in their computers.

I make up a spreadsheet in excel, print it out and fill it in by hand. I keep it in the center console, I have one for my car as well. I track Date, Mileage, gallons, cost per gallon, and any type of maintenance done as well ie: tire rotations, oil changes etc. etc. I keep the receipts in a file folder in my file cabinet. I learned from watching my Dad do this as a kid in the 60's, however, he had to make his information sheet with pen and paper as computers didn't come along until the late 70's early 80's. Geesh, I don't have time to digitize and spreadsheet everything. A manila folder in my file cabinet with everything truck related dropped into it has always served me well. I have one folder for purchase related paperwork and another for service etc.

The variety of methods is to be expected. What surprises me a bit is just how many on here actaully track their vehicles pretty meticulously. Must be because it is an enthusiast forum. In general, most people I know, there is no tracking, or it is pretty haphazard. Oil changes by the window sticker and everything else by the odometer, if it gets done at all.

I have a manilla folder that all my receipts go in. When I have a service done, I write the date, mileage and service performed on the outside of the folder. That way I have ready access to the information regarding all service done. Much easier than setting up a spreadsheet where you have to open you computer and search for the correct file. It's old school but very simple. If you want to get technical, you can set up a spreadsheet in your computer to compute and determine total cost to operate you vehicle and even calculate per mile operating expense. I've done that with my 2016 Ecodiesel and averaged just around $0.16 per mile excluding insurance.

i have a book for each vehicle and keep track there. Had 4 vehicles, now down to 3.
It is the only way to keep maintenance straight.

CARFAX has a maintenance tracking app that helps you link to shop you may use and record your own maintenance.
Personally I use Amsoil Garage....helps keep detailed records, whether you use Amsoil products or not. And you can print info out in spreadsheet like format.
There are many other apps available via Android Google Play store and Apple's app store.

Carfax app and keep all receipts in a folder. App let's your track almost everything including tire rotations and work history.

I use a simple small folding notebook and have for years. I keep it in the glove box, front is for gas gal/date. Back is for repairs, oil changes, part replacements. I've done this since the 70's

I don't have the fortitude to keep track of gas, after 7 years and lots of towing I'm sure I don't want to see that added all up. Better to just close my eyes and pump. :boxed:

I have the Ram, 2 cars, 3 motorcycles, lawn mower, rv, utility trailer, chainsaws and many various other small power tools and NEED the excel spreadsheet to keep track of all the maintenance done and when the next whatever is due; even note every fill-up with gas (gas record is in a notebook in each vehicle). Can you say nerd? :grd:

Spot on! When I''m selling a vehicle, I always provide a copy of the spreadsheet, usually making it available for immediate download in the 'For Sale' ad. But first I convert the spreadsheet into a PDF file, so that anyone can easily open the file and see everything that's been done. Never fails to impress a potential buyer...... ;)
